Setting up and Scheduling a Teams Meeting

From Outlook Calendar

  1. Click New Event button

  1. Fill-out the scheduling information as you normally would with Title, Attendees, and Date/Time. To the right of the Location field, toggle the button for Teams Meeting.

  1. When you save and send the meeting, a link will automatically be generated and included in the description of the event invitation. You can view the link by going back into the event that now displays on your calendar. All meeting participants can click this link to join the meeting.

From Teams Calendar

  1. Click the Calendar icon (left) in Microsoft Teams
  2. Click the down arrow by the + New meeting button in the top right-hand corner
  3. Click Schedule meeting

  1. Fill-out the scheduling information as you normally would with Title, Attendees, and Date/Time.
  2. The Add channel option is available to allow you to schedule a meeting within an existing Teams channel.
  3. Click Save to save and send the Teams meeting invitation. The link to the Teams meeting will automatically generate and populate in the meeting description. Click on the calendar event to see the link.

Recurring Meetings

By creating a recurring meeting in Microsoft Teams, the link to the Teams Meeting will remain the same for all events in the series.

  1. From the New Meeting scheduling options click Don’t repeat
  2. Click Custom.

  1. Choose how often the meeting will recur. Clicking the days will allow you to select more than one day a week for the meeting to recur (if necessary).
  2. You can set an end date for the event so that it will automatically end at a set time (like at the end of the semester).
  3. Click Save.
