Self-Service Budget Directions

Viewing Budgets in the CVCC Portal

  1. Once logged in to the Portal, navigate to the Self-Service Menu.
  2. Select Employee.
  3. Select the Self-Service Homepage.
  1. This will bring you to the Self-Service Menu and display the Self-Service Options that are available to you.  Click on FINANCIAL MANAGEMENT.
  1. This will take you to BUDGET to ACTUALS to where you can view your departmental budgets.
  1. From here you have a variety of options and ways to filter.
  2. The simplest way to access your budget is to hit APPLY FILTER.
  1. This will bring up a summary by Cost Center, or what we refer to as Unit.  All cost centers that start with 9 are your institutional/self-support funds. All others are State Funds.

Differences to note between your state funds and institutional/self-support funds:

  • State funds will have budgeted and actual expenses.
  • Institutional/Self-Support funds will not have budgeted revenue and expenses, but will have actual revenue and expenses.
  1. Clicking on any of your cost centers will bring up a summary of your revenues and expenses, and expanding the dropdown will show the details. 
  1. Clicking on a specific line item will bring up the details, and then clicking on the document will bring up even more details.
  1. Going back to the main screen, there is also an Object View tab, clicking on this will bring up a summary of all your departments by object (i.e. 523000 Instructional Supplies, etc.).  The Object View is where you find your cash balance (under the Asset drop down) for those of you that have institutional/special fund accounts. Under the Liability drop down is where you will find your club balance.

Additional Features of Self-Service Budget

  1. You have the option to look at up to 5 years of previous budgets.
  1. As you are clicking through your various budgets, you also have the option to export any data into a spreadsheet.
  1. For those of you that are responsible for several budgets, you also now have the option to filter by specific criteria.  For example, if you wanted to just see one cost center/unit, you could filter by that specific unit. Or, if you just wanted to see your supply budget and activity for all your departments, you have the ability to filter by the supply object code. 
  1. There is an option to Include Active Accounts with No Activity.  This is automatically set to Yes.  Setting this to yes will show all of your budget codes regardless of activity, and is a useful tool to utilize when you are looking or unsure of a budget code.  Setting this to No will only show your budget code line items that have had activity.
  1. There is an option to view your budget summary information via a bar graph view.
