Academic Planning for Advising

CVCC is transitioning to using Academic Planning for completing the advising and registration process. These directions will guide you through this process.

Navigating to Academic Planning

  1. Login to the CVCC Portal.
  2. Click on Faculty on the right under the Self-Service Menu.
  3. Click on the Self-Service Homepage.

  1. Select Advising.

  1. Type the desired student name or student ID into the search box and press enter.

  1. Choose the correct student from the list and click on View Details.

Advising Overview Dashboard

  1. Once you select an advisee, you will have an Advising Overview dashboard with Course Plan, Timeline, Progress, Course Catalog, Notes, Plan Archive, Test Scores, Unofficial Transcript, Transfer Summary, Grades, Petitions & Waivers, and Graduation Application tabs.

Course Plan

  1. From the Course Plan tab, you can view selected courses in List View and Calendar View. After a final review of the course selections, click the Register Now button to register the courses collectively or register each course individually (this option is only available in the Calendar View in the left-hand pane). The following is the List View.

  1. Next, you can see the Calendar view.

Timeline

  1. Then, you can select the Timeline tab. Courses that have been selected to “Add to the Course Plan” will populate here, as well as the Course Plan. By adding future terms, you can pre-plan a student’s courses by semester. When that semester arrives, the student will only need to select the desired section for each course that is already planned. Courses can be removed and added as needed to the plan. You can also see previous semesters and the courses taken at that time.

Progress

  1. In the Progress tab, you can view student progress and courses still needed, completed, and/or planned for their program of study.

Course Catalog

  1. The Course Catalog tab is where you can search for courses, review course descriptions, pre/co-requisite requirements and view available sections for a particular semester.

  1. Several filter options are available under Course Catalog once you select a program. It is recommended to always filter by desired semester when registering. When planning only, you do not need to filter by semester.

Notes

  1. In the Notes tab, the adviser can make notes for future reference, such as a student’s long-term educational goals and copy link to a Baccalaureate Degree Plan from a 4-year university.  Be Aware: these notes also appear in the student’s Portal account!

Plan Archive

  1. Advisers can archive a PDF copy of the plan that you discussed with the student in the Plan Archive section. A list of all archived plans appear here.

  1. Click review complete to save and archive as needed.

Test Scores

  1. Navigate to the Test Scores tab to review placement test scores such as COMPASS, NCDAP, or RISE, SAT, ACT, TEAS, etc.

Unofficial Transcript

  1. The Unofficial Transcript tab allows you to download an unofficial CVCC transcript. This contains the student’s name, CVCC ID number, address, and the CVCC watermark.

Transfer Summary

  1. Navigate to the Transfer Summary tab to view any transfer credit received from prior institutions.

Grades

  1. Use the Grades tab to view grades by semester.

Petitions & Waivers

  1. We are not currently using the Petitions feature, but any course waivers entered in the system will show here.

Graduation Application

  1. The last tab is the Graduation Application tab. If the student has submitted a graduation application, it will be recorded here. Students apply for graduation elsewhere in their portal account.
