Hosting Office Hours with Microsoft Teams

Instructors can host office hours in Microsoft Teams. These directions will demonstrate how to host open office hours, scheduling 1:1 or small group office hour, and immediately hosting 1:1 and small group office hours.

How to Host Open Office Hours

  1. Navigate to the course in Teams in which you want to schedule open office hours. In any channel within that Team, click on the video camera icon that says meet. Select schedule a meeting.

  1. When scheduling the meeting, you can have it repeat (daily, weekly, etc.) to maintain open office hours.
  2. Add meeting information and click send when finished.

  1. When you schedule a meeting for the future, all students in your Team will receive an email invitation, and it will show up on their Teams/Outlook calendars. The meeting will also be listed in your posts within the channel where you created it. At the appropriate time, join the meeting. Your students will do the same.
  2. Once you have joined the meeting, you can share content and text chat with participants.

Scheduling Private 1:1 or Small Group Office Hours

  1. Open the Teams calendar.
  2. Click on new meeting to create a new meeting.

  1. Fill in the appropriate details (subject, attendees, date/time, details).
  2. When finished, click save.

  1. When you schedule a meeting for the future, all students invited to the meeting will receive an email invitation, and it will show up on their Teams/Outlook calendars. At the appropriate time, join the meeting. Your students will do the same.
  2. Once you have joined the meeting, you can share content and text chat with participants.

How to Meet Immediately for Private 1:1 or Small Group Office Hours

  1. Navigate to chat on the left side toolbar.
  2. Click the new chat icon.

  1. Type the name(s) of the person/people with whom you wish to meet in the “to” field.

  1. Once all the names have been entered, click in the “new message” field at the bottom of the page (this step is necessary to leave the “to” field at the top of the page).
  2. Once you click in the “message” field, new icons will appear at the top of the page. Click the video camera icon for a videoconference or the telephone icon for an audio conference

  1. Once you have joined the meeting, you can share content and text chat with participants.
