Attendance & Grading Using Self Service & Intelliboard

This page walks you through the updated process for accessing and managing your course information, rosters, and student data in Self-Service. Whether you’re logging in for the first time or just need a quick refresher, these step-by-step directions are here to help make things easy and efficient.

Quick Summary

Within 48-hours of the census date for each course:

  1. Enter Attendance/P’s on the Census tab in Self Service
  2. Mark students who never attended by checking the box
  3. Certify the census attendance

By 10am on the 2nd business day after the class ends:

  1. Enter grades for each student, entering the last date of attendance for any student who failed

Getting Ready

To get started, it is recommended that you open two different tabs or windows with:

1. Faculty tab/ Course List in Self Service
  1. From the CVCC homepage click Discover and MyCVCC Portal and then MyCVCC Portal button, or
  2. In your browser navigate to my.cvcc.edu
  3. Click Self-Service

2. Intelliboard via Blackboard

IntelliBoard is a powerful reporting and analytics tool that integrates with our Learning Management System (Blackboard) to help faculty track student activity, monitor engagement, and identify early alerts. It provides easy-to-read dashboards and data visualizations to support student success and informed decision-making. This guide walks you through how to access IntelliBoard through Blackboard.

External Grade Column

In order to fully utilize the capabilities of Intelliboard and ensure accurate reporting of information, please make sure you have set an External Grade Column within your course.

Logging in

  1. Navigate to cvcc.blackboard.com or click the Blackboard icon from the my.cvcc.edu page.
  2. Login to Blackboard using your CVCC email address and password.
  3. Click Tools on the left navigation menu.
  4. Click Intelliboard Next

  1. The first time you attempt to access Intelliboard, you will need to accept the Privacy Policy and Terms of Use.

Reminder About Student Data Privacy
Just like Blackboard, IntelliBoard gives you access to protected student information—only in a dashboard-style format. This data is covered under FERPA and should never be shared, copied, or distributed beyond your instructional responsibilities. To help keep student records secure, always log out of Blackboard when you’re done—especially if you’ve accessed IntelliBoard.
  1. Click the green Accept button beside each Policy to accept the policies and proceed to the dashboard.

Instructor Dashboard

Once you access IntelliBoard Next, you’ll land on the Instructor Dashboard, which gives you an at-a-glance view of student activity across your Blackboard courses. This dashboard helps you identify students who may need additional support or deserve a shoutout for outstanding engagement. You’ll also find tools for tracking logins, participation, grading activity, and more. It’s a powerful way to monitor course health and stay ahead of potential issues before they become barriers.

Available Reports

The list below highlights some of the commonly used reports available on the IntelliBoard dashboard. This list is not exhaustive and may change as new reports are added or updated. As an instructor, you’ll only see data for the courses you are assigned to in Blackboard. The dashboard is personalized, so any reports or student activity you view will be limited to your own classes and students. This ensures that sensitive information stays protected and aligned with FERPA guidelines.

  • Needs Grading (By Assignment) — This report shows how many student submissions are waiting to be graded for each assignment in your courses. It’s designed to help you easily track grading progress and stay on top of pending feedback.
  • Date of First Attendance — This report shows the date of the first submission of each student in each course in your division. This is meant to help you recognize students at risk of being withdrawn and being removed.
  • Learner Course Progress Monitoring — This report shows the academic health of each student in each active course in your division. This is meant to help you recognize students who have below-average grades, gaps in submissions, or low time spent and activity in their courses.
  • Instructor Activity Summary — This first report shows the overall course load and Blackboard activity of each active course in your division. This is meant to help you recognize instructors who may have imbalances in course loads, low time spent in Blackboard, or backlogs in ungraded assignments.

Locating the Census Date (10% Point)

Understanding Section Numbers

In higher education, section numbers help organize and differentiate between multiple offerings of the same course. Here’s a quick breakdown of what they are and why they matter:

  • Course Variations: Some courses have separate section numbers for lectures, labs, or specialized topics.
  • Course Code: This is the base identifier for a course—such as MAT 101 for an introductory math class.
  • Section Number: This adds specificity. For example, MAT 101-01 might represent the first section, MAT 101-02 the second, and so on.

Why It Matters:

  • Scheduling & Format: Different sections may meet at different times or in different formats (in-person, online, hybrid).
  • Instructor Assignment: Each section may have a different instructor, giving students options based on teaching style or availability.
  • Enrollment Management: Section numbers help balance class sizes and ensure students register for a section that fits their schedule.

Entering Attendance

In order to fully utilize the capabilities of Intelliboard and ensure accurate reporting of information, please make sure you have set an External Grade Column in each course.
  1. From the Roster tab in Self Service click Attendance

  1. Select the date from the Select Date dropdown box at the top right of the table to begin attendance tracking (often this is the start date of the class). If your class has a lab component, both the lab and the class attendance will be trackable on the same page. You may select any date from the start of the class or a previous date, but not a future date.

Attendance is to be entered ON or before, but no later than 48 hours after, the census date of the course. It is encouraged to enter the ‘P’ for the students as you progress through the course and up until the census date for that course. You should only mark a student Present once (this is your ‘P’ date) for each course.

Self Service should be used only for entering these ‘P’ dates and should not be used to record attendance for the semester.

Traditional Face-to-Face Courses

For each selected date (from step 2 in the Entering Attendance section), click the Select Attendance dropdown in the Seated Class column and choose Present to record the date the student first entered the course (“P” date). Be sure the correct date is selected when marking Present for each student.

If the section includes a lab, the Present (“P”) should be entered according to the date the student first entered—whether that was during the lab or the class meeting time.

For face-to-face courses, each student should have only one date marked as Present (“P”), based on the date they first walked into the classroom or lab. Each student should only be marked present (“P”) once per course, regardless of the number of columns.

Hybrid Courses

For hybrid courses, enter a Present (“P”) on the seated roster for students who attended in person. For those who did not attend the seated portion, enter a Present (“P”) on the internet roster using the date from the Date of First Attendance IntelliBoard report.

For hybrid courses, each student should have only one date marked as Present (“P”), based on the date they first walked into the classroom or the Date of First Attendance listed on the Intelliboard report.

Courses with multiple columns should place a “P” in the column where the student first engages. (For example: Student A’s first engagement is a scheduled clinical day, mark “P” under HOSP/Clinical, whereas Student B’s first engagement is class, as they were absent from clinical on day one of the course, please mark “P” under Class.)

For students who are absent for the first day of class or clinical, but complete the EVA on that day, mark the INTERNET column with a “P” since that is their first engagement with the course.

Each student should only be marked present (“P”) once per course, regardless of the number of columns.

Online Courses

  1. Login to Blackboard and access Intelliboard (directions are available at Intelliboard: Access)
  2. Scroll down on the Instructor dashboard until you see the First Date of Attendance report.
  3. In the search box that appears above the table, type the prefix, course number, and section for the course you want to see stats for (ex: ACA-122-801) and press Enter.
  1. For each selected date (from step 2 in the Entering Attendance section), click the Select Attendance dropdown and then select Present to record the date the student first entered the course (“P” date) according to the date displayed on the Intelliboard report. Make sure that the correct date is selected when marking Present for each student.
For online courses, each student should have only one date marked as Present (“P”) on the internet roster, based on the date shown in the Date of First Attendance IntelliBoard report. Each student should only be marked present (“P”) once per course, regardless of the number of columns.
Once you’ve made a selection in the Select Attendance dropdown, it will save automatically. There is no need to save your selections since this happens automatically.

Recording Contact Hours

If you are teaching a clinical course that requires you to enter Contact Hours rather than Membership Hours (P/A/L), then you will need to do the following.

  1. Select the Attendance tab.
  2. Ensure that the appropriate date is selected to record attendance.
  3. In the text box next to the Update All button, enter the attendance in hour(s) and/or minutes in the format hh:mm, where hh is the hours and mm is the minutes. For example, 1:30 represents 1 hours and 30 minutes.
  4. Click the Update All button to enter the attendance hours for all students.
  5. You can then edit the contact hours for each student individually if necessary.

Marking a Student who Never Attended

  1. If it is after the census date, and you have a student who never attended the course (or, if online, never shows in the Intelliboard report for Date of First Attendance), click the Census tab.
  2. Check the box in the Never Attended column for any student who never attended your course (or, if online, never shows in the Intelliboard report for Date of First Attendance).
Do not enter a student as an NE (Never Entered) at the end of the semester when you are completing your grades without approval from your Dean. This may require a significant amount of financial aid money to be returned and must be reviewed by the Dean and Student Records.

Undoing too many “P’s”

As you are aware, there should only be one “P” (or Present) per student, per column, in Self Service attendance. Occasionally, you may need to remove a “P” from the attendance for a student.

  1. From the Attendance tab of a course in Self Service, select the date from the dropdown for the “P” you want to remove.
  2. Click the dropdown box in the column for the “P” you’d like to remove, it should already say “Present.”
  3. Click Select Attendance.

Certifying Census Attendance

Each course will require the certification of the census attendance within Self Service. A new Census tab now exists between the Attendance and Grading tabs for each course.

  1. Once attendance/ “P”‘s have been entered for each course, click the Census tab and click the blue Certify button.
  2. A popup will display with a statement asking you to certify, click Submit.
Census attendance must be certified for each course within 48 hours of the course’s official census date.

Entering Final Grades

  1. From the Roster tab of a course in Self Service, click Grading
  2. Click Final Grade
  3. For each student, click the dropdown in the Final Grade column and select from the list the final grade.
  4. If a student (A) failed the course with a grade of F or R (developmental courses), and/or (B) did not complete the course and stopped attending prior to the end date of the course without completing the official withdrawal process, enter the student’s Last Date of Attendance by typing M/dd/yyyy in the field to the left of the grade column.
