Modifying Signatures in Outlook

A signature is a great way to personalize your emails with information that needs to be shared with others. To utilize signatures in Outlook, you must set up and modify your signature in each of the different versions (mobile, desktop, and browser) for them to all work correctly.

How do I modify my signature in the browser version of Outlook?

  1. Log in to your Office 365 account and click the waffle menu in the top left-hand corner.
  2. Click Outlook, or click to access your email directly.

  1. Open Settings by clicking the gear icon in the top-right corner.
  2. Click View all Outlook settings at the bottom of the pop-out menu.

  1. Select Mail.
  2. Select Compose and Reply. Here, you can create or edit your email signature, and choose whether it should appear automatically in your messages. If no checkbox is selected, you will have to add the signature manually when composing an email.

  1. Create your signature according to the guidelines provided from Red Hawk Communications.
  2. Choose the name of the signature you just created/edited in the dropdowns below the signature field to add that signature to all New Messages and for Replies/Forwards. Then, click Save to save and apply your signature.

How do I modify my signature in the Outlook desktop app?

  1. Go to the Outlook desktop app and open a new email message.
  2. On the Message menu, select Signature.
  3. Select Signatures from the drop-down list.

4. Select New.

  1. Type a name for the new signature.

  1. Choose your default signature by selecting the account that you want to connect this signature to. Then, select the signature that you want to be the default for new messages and replies/forwards.

  1. Enter your signature into the edit signature box and click OK.

How do I modify my signature in the Outlook mobile app (iOS)?

  1. Open the Outlook mobile app and select the Settings gear icon.

  1. Find and click on the Signature tab.

  1. Make sure that Per Account is enabled if you have multiple accounts on the Outlook mobile app. Click in the box below the account you want to modify a signature for and enter your signature.

How do I modify my signature in the Outlook mobile app (Android)?

  1. Open your Outlook app on your mobile device and click on the Settings gear icon.

  1. Under Settings, click on the Signature option.
  1. Make sure that the Per Account Signature option is enabled if you have multiple accounts on the Outlook app.

  1. Enter the desired signature and then click the checkmark in the top-right corner to confirm.

Adding the QEP logotype to Your Signature

A Quality Enhancement Plan (QEP) is a multi-year plan that institutions develop to improve student learning and success. QEPs are part of the reaccreditation process for institutions that are members of the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC). CVCC’s QEP is called READY. SET. SOAR! and you can learn more about it by visiting the Student Onboarding Page. The purpose for adding the QEP logotype to your signature is so that students, and others, can see, learn, and know about our quality enhancement plan.

  1. In the document provided from Red Hawk Communications 📄QEP Email Signatures Example, click and drag to select (aka highlight) the last two lines of text, including the logotype and sentence.
  2. Once selected (aka highlighted) right-click on the text and click Copy or use the keyboard shortcut CTRL+C (CMD+C on Mac) to copy the text to the clipboard.
  1. From Outlook for the web, click the gear icon in the top right-hand corner.
  2. When the settings window opens, click ✉️Mail.
  3. In the second menu from the left, click Compose and reply.
  4. If you have more than one signature, select each of them that is used for CVCC in the dropdown, and repeat the remaining steps for each signature.
  5. Scroll to the bottom of the signature field and click in the blank space at the bottom right of the text box and press the ⌨️enter key twice on your keyboard.
  1. Then right-click at the bottom of the text box and click 📋Paste from the menu that pops-up (or press CTRL+V on Windows or CMD+V on Mac) to paste the QEP information into the bottom of the signature. If you use the right-click method, be sure to click 📋Paste so that the text color and formatting pastes as well.
